At the same time, our therapists dedicate their time and energy to preparing a safe, focused space for you. This policy is designed to honour both your needs and the professional time of our therapists.
We also understand that life can sometimes bring unexpected changes. Our cancellation and rescheduling guidelines are here to provide flexibility while ensuring fairness for all. Please take a moment to go through them carefully so you know exactly what to expect.
1. Cancellations 24 Hours Before the Session
If you cancel a session at least 24 hours before the scheduled time, you may choose to:
- Receive a full refund, or
- Reschedule your session for another available time slot with your therapist.
2. Cancellations/Reschedules Within 24 Hours
- If you cancel with less than 24 hours' notice but more than 2 hours before the session, no refund will be given.
- However, you may reschedule the session to another available time slot with the same therapist.
3. Cancellations Within 2 Hours of the Session
- If you cancel within 2 hours of the scheduled session, it will be considered a no-show.
- The session will be treated as completed.
- To attend therapy again, you will need to book and pay for a new session.
4. No-Shows
- If you fail to join your session within 15 minutes of the scheduled start time, the session will be treated as a no-show.
- No-shows are not eligible for refunds or reschedules.

5. Rescheduling
- Rescheduling is subject to therapist availability.
- A session may be rescheduled only once (1 time). If you are unable to attend after the rescheduled slot, the session will be considered cancelled, and no refund or further rescheduling will apply.
- Frequent last-minute rescheduling may impact therapist availability and may be limited at our discretion.
6. Therapist-Initiated Changes
- In the rare event that your therapist needs to reschedule, you will be informed as early as possible.
- You will be offered an alternative slot that works for both you and the therapist, at no additional cost to you.
7. Packages & Validity
- Clients may choose to book individual sessions or purchase session packages of 4 or 6 sessions.
- Packages are valid only with the same therapist to maintain consistency of care.
- All packages are valid for a period of one (1) year from the date of purchase. Any unused sessions after this period will automatically expire and cannot be refunded, extended, or transferred.
- Standard cancellation and rescheduling rules (as described above) apply to each session within a package.
- Missed or late-cancelled sessions will be deducted from your package balance.
- Packages are non-transferable and cannot be shared between clients.
8. How to Cancel or Reschedule
- All cancellations and rescheduling requests must be made directly through your Venthrapy account on the website/platform dashboard.
- Requests made by phone, email, or any other channel will not be accepted as valid.
- The time of cancellation or reschedule will be determined based on the timestamp recorded on our platform.
- Confirmation of your cancellation or reschedule will be visible in your dashboard once the request is successfully processed.
9. Processing of Refunds
- Refunds, where applicable under this policy, will be initiated within 7–10 business days from the date of cancellation.
- Refunds will be processed to the original mode of payment used at the time of booking. Please note that the time taken for the refunded amount to reflect in your account may vary depending on your bank or payment provider.
- For package sessions, eligible refunds will apply only to the unused portion of the package, in line with the rules mentioned above.
- Any applicable discounts or promotional offers will be adjusted in the refund amount.
- Venthrapy will not be responsible for delays in refund processing caused by third-party payment gateways, banks, or other external providers.
